Job Purpose
The General Manager: Corporate Event and Hospitality is responsible for the successful sales, planning, coordination, and delivery of all F&B operations which includes general day to day management as well as delivering conference, hospitality, and event activity at Coventry Rugby.
The venue is hoping to develop a robust hospitality business with a particular focus on growing our events and conference revenue. This is a hands-on operational leadership role where you'll be visible on the floor, leading by example and supporting your teams to deliver positive customer experiences. The role will oversee the customer journey from initial enquiry through to event completion, ensuring exceptional service, operational excellence, and financial performance across varied events.
Key Responsibilities
Day to Day Operations
• Operate staff levels with an efficient and appropriate staff rota by co-ordinating with members of our team to ensure that we are organised for service
• Keep accurate records of employee’s hours worked and report these in an efficient manner which allows quick analysis of profit and loss for each service or event
• Maintain our “End of Day” procedures which provide live reporting of sales which can be easily monitored and explained
• Continually monitor our product ranges and work with our stock taking systems to ensure the delivery of value to our customers and profit margin on purchases/sales
• Review current standards and practises, identify potential improvements and implement staff training for current and new staff which focuses on improving the customer experience
• Maintain records and systems for cleaning, training and maintenance to ensure all compliance with health & safety and security standards with all paperwork up to date.
• Ensure all serious incidents are dealt with in a professional and timely manner and recorded properly for management review
• Use customer experience and management feedback to make informed decisions on what events should be held at the club and work collaboratively with other stakeholders to deliver them
Event Sales & Client Management
• Manage all conference, event, and hospitality enquiries from initial contact through to successful delivery.
• Prepare bespoke proposals and quotations for prospective clients.
• Conduct venue show-rounds and client meetings to promote the facilities and convert enquiries into bookings.
• Build and maintain strong relationships with clients to encourage repeat business and referrals.
• Manage all hospitality bookings and maintain regular communication with guests and event organisers.
Event Planning & Delivery
• Plan, coordinate, and deliver a diverse range of events including weddings, corporate events, private functions, community events, seasonal celebrations, and matchday hospitality.
• Produce detailed event schedules, running orders, function sheets, and operational plans.
• Ensure all events are delivered to an exceptional standard, on time, and within agreed budgets.
• Oversee venue setup, event delivery, and post-event breakdown, ensuring high standards throughout.
Operational Coordination
• Manage all event bookings through the IVVY venue management system.
• Liaise closely with the Kitchen team and Head Chef to agree menus, dietary requirements, and food service arrangements.
• Chair weekly function meetings with Facilities, Operations, Kitchen, and Bar teams to review upcoming events and operational requirements.
• Coordinate with external catering partners for matchday hospitality, ensuring menus, guest numbers, and dietary requirements are managed effectively.
Financial Management
• Prepare and manage event budgets to maximise profitability.
• Raise invoices in conjunction with the Accounts team and ensure timely payment.
• Take responsibility for the annual events budget and contribute to achieving commercial targets.
Supplier & Resource Management
• Source and book external suppliers, including DJs, photographers, photo booths, décor companies, entertainers, and other event services.
• Arrange additional staffing resources where required to support event delivery.
• Build and maintain strong relationships with preferred suppliers to ensure quality and value for money.
Hospitality & Matchday Operations
• Coordinate all hospitality bookings for Coventry Rugby fixtures, Coventry United Football fixtures, American Football and Corporate events.
• Work closely with the ticketing team to ensure hospitality tickets and guest information are distributed accurately and on time.
• Support the delivery of premium matchday hospitality experiences that enhance customer satisfaction and revenue generation.
Person Specification
Essential Skills & Experience
• Proven experience in conference, hospitality, or event management.
• Excellent organisational and project management skills with the ability to manage multiple events simultaneously.
• Strong customer service and relationship management skills.
• Excellent written and verbal communication skills.
• Experience managing budgets and financial administration.
• Ability to work collaboratively across multiple departments.
• High attention to detail and strong problem-solving abilities.
• Proficient in Microsoft Office applications and venue/event management systems
